Special Sessions

The conference will include special sessions on highly specialized topic areas, reporting technical trends and breakthroughs within the scope of the conference. Special Sessions are organized at the initiative of one or more individuals, who must adhere to specific procedures published on the conference website.

Final Paper Submission

You need to submit the final version of your paper with the modifications requested by the reviewers.

IEEE PDF eXpress

First-time users should do the following:

  1. Sign up to the IEEE PDF eXpress site.
  2. Enter the following:
    • 60842X for the Conference ID
    • your email address
    • confirm the email address
    • choose a password
  3. Continue to enter information as prompted.

An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress should do the following:

  1. Log in to the IEEE PDF eXpress site.
  2. Enter the following:
    • 60842X for the Conference ID
    • your email address
    • the same password that was used for previous conferences
  3. Verify that your contact information is valid.

If your IEEE Template contains a copyright notice in the bottom margin, remove it before you create a PDF. 

The margin should be kept empty so the requested copyright notice can be added during the post-production.

Proofread your source document thoroughly to confirm that it will require no revision.

Copyright

Once you have uploaded the final version, you will have a new option in the submission system labeled "Sign IEEE Copyright", which will take you to the IEEE eCF site, where you can transfer the copyright to IEEE.

You will see a screen as follows. Make sure ALL authors are indicated in the copyright form!

Paper Submission

Prospective authors are invited to submit full papers in English, following instructions on the website. The conference proceedings will be submitted to IEEE Xplore Digital Library®.

A paper can be submitted to one of the technical tracks and special sessions. Please, make sure you have correctly selected the most suitable track or special session in the submission system. Submission Guidelines

Dear Authors for submitting a paper to a conference organized by the IEEE IES and Gdynia Maritime University it is essential to follow a series of rules in the format and typographies. These stringent requirements help the paper's information to be viewed correctly by other members. And ensure that if these articles are printed, no special tricks or specific paper sizes are needed.

Even though the conference template is similar to transaction template, using different template than conference papers template is not a good practice. For instance, authors' affiliation and acknowledgment notice formats are different.

You are advised to use the A4 template prepared by the CPE-POWERENG organizers by the link below, as its compatibility with the submission system was tested.

Fonts and Page Numbers

The typographical aspect of characters in IEEE technical papers is to be kept as similar and uniform as possible. For many years, the "Times" family of computer fonts, available in LaTeX packages and postscript printers, has been used.

Another common pitfall is placing page numbers into the document. As your paper will be placed into a collection of documents, please do not put page numbers. Most of the tools used to generate proceedings do this for the conference.

Authors' Affiliation

In conference papers do not place the authors' affiliation at the end of the first page of the document. Move this data below the authors' names, under the title of the paper.

Acknowledgment

Do not put the acknowledgment at the end of the first page of the document. Move your acknowledgment notice near the end of the last page of the document, before references.

Biographies

No biographies nor photos of authors are allowed in conference papers.

From your document to PDF

IEEE has a clear and (almost) complete technical definition of the allowed PDF characteristics for conferences. The latest version can be downloaded from IEEE Publishing Technology Resources page.

PDF is an open standard, and there are many alternatives to create a file to submit. Some text editors, like Microsoft Word, OpenOffice and LibreOffice, can save the document in PDF format. Other solutions which allow convert papers to pdf are presented bellow:

Embedding Typographic Fonts

IEEE asks for embedded typographic fonts on each PDF file. And this is one of the most frequent mistakes.

The pdf file must include (embed) the fonts needed to be shown on screen and printed.

If the fonts are not embedded when generating the PDF, it is usually a configuration issue of the software that creates the pdf file. It is not a word editor problem. It is just a misconfiguration of the PDF creator (Adobe Distiller, Primo PDF, etc...) Please take a look at the user manual and the configurations menus. The solution is often a few clicks away. Just configure your program to embed all typographic fonts.

General terms and conditions
(conference policies)

The organizer of CPE POWERENG 2024 is Gdynia Maritime University, based in Gdynia, ul. Morska 8-87, entered into the register of entrepreneurs kept by the District Court Gdynia, NIP 5860012873 and the IEEE.

  • The conference will be held in Gdynia, 24-26 June 2024 in Mercure Hotel, Armii Krajowej 22 Street, 81-372 Gdynia.
  • Each registration includes full access to the conference, including keynotes, IES SYPA morning, special events, coffee breaks, lunches, welcome reception, and Gala-dinner.
  • In order to register for the conference, the participant must complete the registration form available on the conference website.
  • Paper registration should be done using only IEEE-Member, IEEE-IES Member, and Non-Member registration types. Each registration is valid for 1 paper submission of 6 pages. An additional paper and over-length pages are subject to extra fees.
  • Discounted rates without paper registration are available for IEEE Student and Life Members. Such a fee would be useful if some of your colleagues have registered the paper co-authored by you, or you are attending the conference without a paper.
  • Please note that all delegates registered as members will be checked against the IEEE membership database. Those who are not members will be contacted and required to pay the additional fee for non-member registration. If this is not paid, your registration may be cancelled with an administrative fee of 50% of the original item deducted.
  • The registration is not considered final until the payment is received.
  • At least one author's registration should cover each paper to be included in the conference program and proceedings.
  • Registration of each paper should be paid in full by May 16, 2024 to be included in the conference program and proceedings.
  • One author could register one additional paper at a reduced fee. The additional paper needs extra fee of 300 €.
  • The total paper length could be extended from 6 to 8 pages at the fee of 50 €/page.
  • No on-site registrations or payments could be accommodated due to technical limitations.

Registration fees & payment

  • The registration fees include participation in conference, presentation, publication, lunch, welcome part, gala dinner and conference materials, but not transport and accommodation.
  • The entity providing payment processing is mElements S.A.
  • Please note that payment of all registration fees must be made in full prior to the start of the conference. Payment of any bank transfer charges is your responsibility.
  • All sums payable by you under this Agreement are subject to any applicable tax, levy or similar governmental charge, including value added or sales tax which we shall add at the applicable rate.
  • All sums due under this Agreement shall be paid in full without any set-off, counterclaim, deduction or withholding (other than any deduction or withholding of tax as required by law).
  • If any registration fees due have not been paid when they are due (“Debt”) we reserve the right to cancel your registration without warning at any time prior to the first date of the conference. If we do not exercise our rights of cancellation prior to the conference, delegates whose registration fees have not been paid by the start of the conference shall be required to pay on-site in order to gain entry;
  • We shall be entitled to initiate proceedings against you without any notice in order to recover the Debt;
  • You shall be liable to pay (a) an administration fee and (b) interest (accruing on a daily basis) on the amount unpaid, in each case in accordance with the Late Payment of Commercial Debts (Interest) Act 1998 (whether or not applicable to this Agreement) from the due date of payment, both after as well as before any judgment or order.
  • Any and/or all costs and expenses incurred by us (including legal costs and expenses) in recovering sums due under an unpaid invoice shall be recoverable from you.
  • Notwithstanding any other right or remedy we may have, if you breach this clause
  • We may terminate this Agreement immediately by giving you written notice

Cancellation policy

  • All refund/cancellation requests must be provided in writing and received by May 25, 2024. There will be an administrative fee of 50% of the original item deducted from each refund.
  • Refunds for cancellations received after May 25, 2024 (23:59 CET) will only be made in exceptional circumstances.
  • Any cancellations due to Visa requests being denied will be refunded based on the cancellation terms above. 
  • All refund requests must be made via email to the Finance Chair .

Substitution Policy

  • All requests to substitute another person on an existing registration must be submitted in writing to the following email address cpe-powereng2024@umg.edu.pl no later than May 25, 2024. There will be an administrative fee of 50 € deducted from each substitution.
